Reasons to Downgrade from Growth to Professional

You might consider downgrading if:

  • You no longer have a team (working solo again)
  • You don't use the advanced collaboration features
  • You don't need API access
  • 50 AI questions/month is sufficient
  • You want to reduce costs

Managing Your Subscription

Viewing Current Plan

  1. Go to Settings > Subscription
  2. See current plan details
  3. View usage statistics
  4. See renewal date

Downgrading Your Plan

Important Considerations:

  • Loses features of Growth plan
  • Data preserved (not deleted)
  • Team members removed from account
  • Takes effect at end of billing cycle

Downgrade Process:

  1. Go to Settings > Subscription
  2. Click Change Plan
  3. Select Professional plan
  4. Review what you'll lose
  5. Confirm downgrade
  6. Takes effect at next billing cycle

Before Downgrading:

  • Inform team members they'll lose access
  • Export any custom reports you've created
  • Save scheduled report configurations
  • Download API integration documentation

Switching Billing Frequency

Monthly to Yearly:

  • Save by switching to annual billing
  • Immediate switch
  • Charged full annual amount
  • Credit for unused monthly time

Yearly to Monthly:

  • Takes effect at end of annual period
  • No refund on unused yearly time
  • Converts to monthly at renewal

Payment Methods

Adding Payment Method

  1. Go to Settings > Billing
  2. Click Add Payment Method
  3. Enter credit card details:
    • Card number
    • Expiry date
    • CVC code
    • Billing ZIP/postal code
  4. Click Save Card

Accepted Cards:

  • Visa
  • Mastercard
  • American Express
  • Discover

Updating Payment Method

  1. Navigate to Billing settings
  2. Click Update Card
  3. Enter new card details
  4. Click Save
  5. Next charge uses new card

Payment Failures

If payment fails:

  1. You receive email notification
  2. Have 5 days to update payment method
  3. Service continues during grace period
  4. After 5 days, account access restricted

Common Reasons:

  • Expired card
  • Insufficient funds
  • Changed card number
  • Billing address mismatch

Solution: Update payment method immediately

Billing Cycle and Invoices

Billing Cycle

  • Monthly: Charged same day each month
  • Yearly: Charged same day each year
  • Auto-Renewal: Automatic unless cancelled
  • Prorated: Partial periods prorated

Viewing Invoices

  1. Go to Settings > Billing > Invoice History
  2. See all past invoices
  3. Download PDFs
  4. Resend to email

Invoice Details:

  • Invoice number
  • Billing period
  • Amount charged
  • Payment method
  • Date paid
  • Receipt download

Failed Payments

View failed payment attempts:

  • Date of failure
  • Reason for failure
  • Amount attempted
  • Retry status

Pausing and Canceling

Pausing Subscription

Available On: Both plans allow pausing

  1. Go to Settings > Subscription
  2. Click Pause Subscription
  3. Select pause duration (1-3 months)
  4. Confirm pause
  5. Access to features paused
  6. Auto-resumes after period

During Pause:

  • No charges
  • Read-only access to data
  • Cannot create/edit data
  • Can export data

Canceling Subscription

Before Canceling:

  • Export your data
  • Download all receipts
  • Save important reports
  • Consider pausing instead

Cancellation Process:

  1. Go to Settings > Subscription
  2. Click Cancel Subscription
  3. Provide reason (helps us improve)
  4. Confirm cancellation
  5. Access until end of billing period

After Cancellation:

  • Access through end of paid period
  • Data preserved for 6 months
  • Can reactivate anytime

Discounts and Promotions

Available Discounts

  • Annual Billing: Save by paying yearly
  • Nonprofit Organizations: 30% off (verify status)
  • Students: 50% off Professional (verify .edu email)
  • Startups: 6 months free on Growth (apply at startups@akiliapps.com)

Applying Discount Codes

  1. Go to Billing > Apply Discount
  2. Enter code
  3. Click Apply
  4. Discount shows on next invoice

Common Questions

Q: Can I downgrade anytime?

Yes, you can request a downgrade anytime. It takes effect at the end of your current billing cycle.

Q: What happens to my team members?

Team members will lose access when the downgrade takes effect. Notify them before downgrading.

Q: Will I lose my data?

No, all your data is preserved. You won't lose expenses, invoices, receipts, or client information.

Q: Can I upgrade again later?

Yes, you can upgrade back to Growth anytime and regain all features immediately.

Q: Do I get a refund?

Downgrades take effect at the end of your billing cycle, so you continue to have Growth features until then. No prorated refunds for downgrades.

Q: What happens to my custom reports?

You won't be able to create new custom reports, but you can still view and export data using standard reports.

Q: What about my API integrations?

API access is only available on Growth plan. Your API keys will stop working when the downgrade takes effect.

Q: Can I keep just one team member?

Professional plan is for individual use only. If you need even one additional user, you need the Growth plan.
